UKG quarterly tax variance reports, reconciled and explained

The quarterly tax variance report says where liability and tax differ. Reconciliation says why, code by code, before the quarter is filed.

By Dan Agarwal, founder·Updated

Quarterly variance reports read, including PDFs and image-only pages.

Every company tied to its printed totals before comparison.

Variances classified by cause: mapping, filed elsewhere, filing-only, timing, setup.

Each quarter, the tax filing service produces quarter-to-date analysis by company and tax code: gross, taxable wages, liability, tax, and the variance between them. For a multi-company employer that can mean many reports, some delivered as PDFs, each needing to be tied to payroll before the quarter is signed off.

PCLnXAI reads these reports, ties every company to its printed totals, and compares them three ways: the quarterly report, the payroll register, and the collections recorded through the quarter. Each variance is classified by cause, so the tax team sees a short list of decisions rather than a long list of numbers.

Three sources, compared each quarter
Quarterly variance report
  • What the filing service will report
  • By company and tax code
Collections
  • What was actually collected
  • Pay date by pay date
Payroll register
  • What payroll calculated
  • Traceable to runs and employees
Each pair answers a different question. Together they turn a variance total into a short decision list.

Three-way quarterly comparison

  • Quarterly report to collections. Does the report reflect what was actually collected?
  • Collections to register. Did every payroll's liability get collected?
  • Register to report. Where does what payroll calculated differ from what will be filed?

Variance causes, classified

Variances usually fall into a few causes. Classifying them first separates the items that need action from the ones that only need a note:

CauseWhat it looks likeUsual action
Code mappingThe same tax reported under different codes in payroll and in filingMap once, then confirm each quarter
Filed elsewhereTax withheld in payroll but not filed through the filing serviceConfirm who files it and note it
Filing-only itemsCredits or quarter-end amounts that exist only in filingConfirm with filing; no payroll change
Run timingQuarter-end, off-cycle, or reversal runs collected in another periodTie the run to the right period
Setup issueA rate, split, or tax type set up incorrectlyCorrect setup; assess employee impact

Reports that are hard to read

Not every quarterly report arrives as clean data. Reports delivered as PDFs are parsed, including scanned or image-only pages, and every parsed row is checked with the report's own arithmetic and tied to the printed company totals. Rows whose tax code cannot be read with confidence are held for review rather than guessed.

How PCLnXAI handles quarterly tax variance

We run the quarter's reconciliation in your environment, on the reports your team already receives. The tax code map is versioned, so each quarter uses the mapping that applied to it, and findings go to your tax team with the evidence.

Frequently asked questions

What is a QVR in UKG?

It is the quarterly tax variance analysis from the tax filing service: by company and tax code, it shows wages, liability, tax, and the variance between them for the quarter to date.

Can PDF reports be reconciled?

Yes. PDF reports are parsed, including image-only pages, and each company is tied to its printed totals before any comparison.

Does this change what is filed?

No. Filing stays with your tax process. Reconciliation tells you what to correct or confirm before you file.

Is this only for quarter-end?

Quarterly variance is checked at quarter-end, but the pay-date reconciliation underneath it runs every pay date. See payroll tax reconciliation.

See it on your own UKG Pro payroll.

We map how your payroll actually runs, then prove the system on your own data across live pay cycles, with your team approving every load.
