Deductions and third-party files for UKG Pro, tracked and validated

Carrier files, garnishments, union remittances, and one-time deductions arrive from many places. Each one is expected, checked, and recorded before it changes a paycheck.

By Dan Agarwal, founder·Updated

Every expected carrier, garnishment, and union file tracked by pay group and cycle.

Each line checked against enrollment, code type, and refund rules.

Posted deductions read back and recorded with their source.

Deductions are the quiet half of payroll input. They arrive from benefit carriers, garnishment orders, union offices, and internal programs, by SFTP, export, or email. Each has its own format and timing, and many are handled by whoever happens to know that file.

PCLnXAI brings these files into the same governed pipeline as earnings. The system knows which deduction files to expect, validates them against UKG Pro enrollments and your rules, and posts approved deduction pending items through UKG Pro's own interfaces, with a record of every one.

Checks that matter for deductions

A deduction line can be valid as data and still wrong for the employee. These are the questions the pipeline answers for every line:

  • Enrollment. Is the employee already enrolled in this deduction, and should this amount add to it or replace it?
  • Flat amount or rate. Is the code set up for the kind of amount being sent?
  • Refunds. Are negative amounts expected and allowed for this code?
  • Priority. Do garnishments and other orders follow the priority rules that apply to the employee?
  • Timing. Is this a one-time deduction for this cycle, or a change that should persist?

Every file accounted for

Third-party files are the ones most often tracked from memory. The pipeline keeps a list of every expected file by pay group and cycle, and flags a late or missing one when it is due. When a file arrives, it is validated immediately, so a problem is raised days before payroll rather than on processing day.

Garnishment handling depends on priority and disposable earnings rules that vary by jurisdiction. Our explainer on garnishment priority rules covers the background.

Posting and confirming

Approved deductions are posted as UKG Pro deduction pending items, one controlled item per line with a handle that ties it back to its source. After posting, the system reads the items back to confirm each landed as approved.

How PCLnXAI handles deduction files

We list every deduction source you receive, how and when it arrives, and the checks your team applies. Those become rules in the pipeline, and your team approves each load with the validation results in view.

Frequently asked questions

Can deductions be posted to UKG Pro automatically?

Approved deduction lines are posted through UKG Pro's supported interfaces as pending items. Nothing posts until your team approves the pay group.

What if an employee is not enrolled in the deduction code?

The line is held with that reason. Whether to enroll, add, or replace is a decision your team makes, with the evidence in front of them.

Do you handle union dues and remittances?

Yes. Union deduction files are treated like any other expected input, and the union rules your team applies become written rules. See union and hourly payroll.

Are refunds supported?

Yes, where your codes allow negative amounts. Refunds are flagged for review because they are less common and more visible to employees.
